POSITION SUMMARY

Reporting to the Director of Development, the Development & Marketing Associate is a key member of the fundraising team. The Development & Marketing Associate is responsible for helping to raise funds to achieve The Haven of Grace’s mission; managing and overseeing the volunteer program, gift database management, coordinating the social media, assisting with website updates, and supporting special events. This position is salaried and exempt.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Support all development activities, including special events, channels of communications, community partner events, grants management, and activities by third parties, etc.
  • Work in collaboration with the Director of Development to ensure the annual fundraising goal is obtained.
  • Knowledge of general office best practices (reconciling of donations, answering the phone and doors, project coordination, excellent verbal and written communications, and others).

GIFT PORCESSING MANAGEMENT

  • Manage all gift and reporting functions through the donor database (Blackbaud Raisers Edge).
  • Utilize best practices to manage The Haven of Grace donor database.
  • Accurately process, batch, write and send monthly thank you letters for all gifts (cash, in-kind, grants, pledges, others).
  • Record all In-Kind donations and Tax Credit allocations.

VOLUNTEER MANAGEMENT

  • Manage, recruit and organize volunteers to meet the needs of the agency, special fundraising events, agency special needs, and others needs as assigned.
  • On-boards and trains all volunteers to ensure they are aware of Haven policies and procedures.
  • Perform background check and sex offender registry checks for all volunteers.
  • Report monthly all volunteer information on Volunteer Tracking spreadsheet.
  • Track volunteers, records skills, performance, availability, and scheduling on Volunteer Tracking spreadsheet and Volunteer Calendar.
  • Develop volunteer job descriptions and expectations for special event volunteers.

DEVELOPMENT, COMMUNICATIONS, & MARKETING

  • Assist Director of Development in preparing, coordinating, and tracking of vital event information.
  • Prepare mailings, email blasts, social media posts, and website content as assigned by Director of Development.
  • Attend regular committee meetings in support of development and fundraising efforts.
  • Assist with soliciting auction items for fundraising events.
  • Develop new and foster existing relationships with key stakeholders (Board of Directors, donors, staff, volunteers, students) utilizing a long-term relationship approach.
  • Recruit and manage third-party fundraisers.
  • Provide tours for Haven guests and volunteers.
  • Be a positive ambassador for The Haven of Grace.

QUALIFICATIONS AND EXPERIENCE

  • 1+ years’ experience in a nonprofit development office, volunteer management, communications, or closely related office experience.
  • Prefer a Bachelor’s degree in Communications, Marketing, Public Relations, or Nonprofit Management.
  • Database management experience: Blackbaud Raisers Edge experience required.
  • Social Media Marketing and Email Marketing experience required.
  • Experience in using multiple software programs (Microsoft Suite, Word Press, Adobe Creative Cloud).
  • Graphic design experience strongly preferred.
  • Experience working with volunteers and/or planning and organizing events.

WORK ENVIRONMENT: Most of the work for this position is performed under normal office conditions. However, the employee is responsible for being responsive to volunteers and donors outside of normal work hours. Employee must be present at all specific events and is required to have reliable personal transportation with a current, valid driver’s license and insurance, and will be reimbursed for mileage at current agency rate.
