Office Manager

MISSION

POSITION SUMMARY
Reporting to the Executive Director, the Office Manager is a key member of The Haven of Grace team.  The office manager position is responsible for overall front office activities, and supporting the Executive, Program and Development Directors. This position is full time.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Manages the reception area to ensure effective telephone and mail communications
  • Provides general support to visitors and volunteers
  • Oversees the purchase of office supplies, office furniture, and office equipment, etc.
  • Purchases printed materials and forms
  • Oversees the maintenance of office equipment
  • Provides historical reference by developing and utilizing filing and retrieval systems.
  • Plan, administer and maintain IT/Telephone and Security functions
  • Manages and implements other office activities (recycling, office celebrations, etc.)
  • Supports the Executive Director, Development Director and Program Director
  • Prepares board communications and packets
  • Tracks donor engagement
  • Implements gift processing through the donor management system
  • Contributes to team effort by accomplishing related results as needed.
  • Participates as needed in special department projects
  • Is a positive ambassador for The Haven of Grace

QUALIFICATIONS AND EXPERIENCE

  • Associates degree in business administration or related field
  • 2+ years’ experience in an office environment
  • Proficiency in Microsoft Office
  • Must have own vehicle and possess a current, valid driver’s license and meet The Haven of Grace requirements for insurance

WORK ENVIRONMENT

Most of the work for this position is performed under normal office conditions. The employee may need to travel from one location to another on an as needed basis. Employee must be present at all specific events and is required to have reliable personal transportation. Employee may be asked to transport donors, volunteers and others in a personal vehicle and will be reimbursed for mileage at current agency rate.

To perform this job successfully, an individual must be able to perform each essential duty and responsibility satisfactorily, as well as possess the skills and meet the demands outlined in this job description.

Human Resource Manager

MISSION

POSITION SUMMARY
Reporting to the Executive Director, the Human Resource Manager is a key member of The Haven of Grace team.  The Human Resource Manager originates and leads Human Resource practices and objectives that will provide an employee-oriented; high-performance culture that emphasizes empowerment, quality, productivity, and accountability; goal attainment, and the recruitment and ongoing development of a superior workforce. This position is part-time and non-exempt.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Recruitment, onboarding and transitioning of employees
  • Policy development and implementation
  • Compensation and benefits administration
  • Employee safety, welfare, wellness and health
  • Develops and monitors annual budget that includes Human Resource services
  • Establishes HR departmental measurements and outcomes
  • Establishes and implements staff training systems and resources
  • Leads organization compliance with all existing government and labor legal requirements
  • Is a positive ambassador for The Haven of Grace

QUALIFICATIONS AND EXPERIENCE

  • Minimum of a Bachelor’s degree or equivalent in Human Resources, Business, or Organization Development
  • A minimum of seven years of progressive leadership experience in Human Resources positions
  • Experience in employment law, benefits, compensation, worker’s compensation and payroll
  • Active affiliation with appropriate Human Resources networks and organizations and ongoing community involvement
  • Must have own vehicle and possess a current, valid driver’s license and meet The Haven of Grace requirements for insurance

House Parent (PRN)

MISSION

POSITION SUMMARY
Reporting to the Program Manager, the House Parent PRN is available and responsible to fill in for House Parent’s when they are unavailable.  The House Parent PRN provides direct care and educational opportunities while interacting with both mothers and children to foster healthy relationships, positive skills, and provide a supportive living environment.  This position is on an as needed basis and nonexempt.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Focus on client needs; anticipate, understand, and respond to the needs of  clients to meet or exceed their expectations
  • Participate, role model and teach parenting skills
  • Participate, role model and teach household management skills
  • Assist and support program outcomes and evaluation
  • Track, review and ensure accurate record keeping and provide reports
  • Participate actively in volunteer supervision and engagement
  • Maintain a clean and healthy living environment
  • Be available for work
  • Is a positive ambassador for The Haven of Grace

QUALIFICATIONS AND EXPERIENCE

  • High School Diploma/GED with additional training in child development, social services, nursing etc.
  • Residential experience preferred
  • Microsoft Office experience
  • Must have own vehicle and possess a current, valid driver’s license and meet The Haven of Grace requirements for insurance
  • Must be flexible to work holidays, evenings, overnights and weekends

WORK ENVIRONMENT
Most of the work for this position is performed within a residential setting with crisis management being a key component.  The employee will need to travel to meetings and conferences and transport clients, donors, volunteers and others in personal vehicle and upon submission of proper documentation will be reimbursed for mileage at current agency rate. Employee is required to have reliable personal transportation.
